Administrative Assistant

Position Summary:

This position is for an Administrative Assistant at Rion LLC located in Rochester, MN. Administrative professionals must have strong communication skills to complete their job duties in an effective manner. From answering the phones to writing emails to interacting with employees and managers, the professionals should be able to relay information clearly and concisely to others. Organization is a primary factor in many administrative assistant’s daily duties. These professionals must be able to successfully handle various appointments, calendars, meetings, and other events in an effective manner to ensure the office continues to run efficiently. Administrative Assistant responsibilities also include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.

Responsibilities:

  • Provides administrative support to ensure efficient operation of office.
  • Answers phone calls, schedules meetings and supports visitors.
  • Planning meeting logistics – reserving a room, making lunch reservations, setting out snacks/breakfast/coffee
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Printing/filing quality paperwork – organizing physical copies of quality paperwork, scanning and electronic filing of quality documents
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports team by performing tasks related to organization and strong communication.
  • Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Provides information by answering questions and requests.
  • Shipping – finished product to shipping tree, samples to customers, etc.
  • Procurement – ordering lab reagents and supplies, office supplies, dealing with billing/invoices/returns
  • Receiving deliveries
  • IT support – ordering/coordinating IT support, ensuring we have IT equipment/cords/printing supplies
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
  • Collate and distribute mail
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Write and edit documents from letters to reports and instructional documents
  • Act as a point of contact for internal and external clients and partners.
  • Contributes to team effort by accomplishing related results as needed.

Education and Experience Requirements:

  • High school diploma or equivalent education required
  • 3 years of administrative assistant experience
  • Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat
